Evergreen’s maintenance systems are designed to provide timely professional service to residents while ensuring quality workmanship to protect and preserve the property’s structure. 

The best part? We do this all at a cost-effective price for you, the property owner.

We take the guesswork out of vendor selection. We don’t go for the lowest-priced vendors or the highest quality vendors. Instead, we look for vendors who strike the perfect balance in all areas. In addition, all vendors serving our properties must have a thorough understanding of Fair Housing Law and Oregon Landlord-Tenant Law requirements. 

To protect our owners, we also require all vendors to be licensed and carry liability and workman’s comp insurance. We demand a lot from our vendors because we believe in delivering the best for you.

Due to our extensive vendor screening process, Evergreen only collaborates with carefully vetted, preferred vendors who share our commitment to excellence.

Maintenance Notification

  • You will receive a text or email from your portfolio management team when a resident submits a maintenance request.
  • Evergreen promptly creates a scope of work and schedules a vendor to make the repair.
  • If the expense exceeds the available funds in your account, we’ll reach out to you.
  • No action is needed from you. We’ll take care of everything and even provide the service invoice with your monthly owner statement.

Essential Services

  • For essential service repairs such as HVAC, water heater, roofing, plumbing, or those mandated by ORS 90.320, we cannot provide advanced notification due to time constraints.
  • By law, essential service repairs must be completed within 24-48 hours.
  • Evergreen promptly creates a scope of work and schedules a vendor to make the repair.
  • We’ll send you an email alerting you to the repair and associated costs.

We prioritize our maintenance process because it directly impacts our high retention rates with residents. National surveys consistently show that the top reason residents move from a property when their lease is up is due to poor maintenance. Fortunately, this is not the case with Evergreen’s properties and residents; our average annual resident retention rate is an impressive 95%.

Maintenance Reserve

Another way to ease the sting of maintenance costs is by having a reserve fund. As investment property owners ourselves, we recommend that each owner maintains a minimum property reserve of at least three months’ rent on hand to cover expenses in the event of a major repair or property turn.

New Option: Owner Property Maintenance

For some owners, it makes sense for them to manage their own property maintenance. We’re happy to make that happen by handing over 100% of property maintenance to the owner. An addendum to the management contract is signed by the owner, and a notification letter is sent to the resident with the owner’s contact information.

EvergreenPM will still document receipt of work orders from your resident and will email the work order to the owner for completion. Please reach out to your portfolio manager if you’re an owner interested in doing your own maintenance.
